Online Booking Terms

These booking terms apply to all bookings made with My Short Lets through our website, by email, by telephone, through direct enquiry, or by any other agreed method.

By making a booking, you agree to these terms.

1. Booking Confirmation

A booking request is an offer to book accommodation with My Short Lets.

A booking is only confirmed when:

* we have confirmed the booking in writing by email;

* your payment details have been accepted;

* the agreed holding payment has been received.

The standard minimum holding payment is £200, unless another amount has been agreed in writing.

The holding payment is not a security deposit. It will be deducted from the total booking balance.

The remaining balance must be paid before check-in. If the balance is not paid on time, we may cancel the booking and retain the holding payment to cover our reasonable costs and losses.

We do not accept bookings from anyone under the age of 21. The booking must be made or authorised by the named guest, company representative, or responsible person.

2. Payment

Rates are subject to change until the booking has been confirmed in writing.

For short stays, full payment must be made at least 5 days before arrival, unless agreed otherwise in writing.

For long stays, payment must be made at least 14 days in advance. Further invoices will usually be issued every 30 days until the end of the stay, unless another payment schedule has been agreed.

Failure to pay any amount due may result in the booking being cancelled or terminated.

3. Cancellations

For short stays, cancellations must be made at least 14 days before arrival.

For long stays, cancellations must be made at least 30 days before arrival.

If you cancel within these periods, cancellation charges may apply. These charges will be based on the booking value, the notice given, and any reasonable costs or losses incurred by My Short Lets.

Where possible, we will try to re-let the accommodation. If we are able to re-let the dates, we may reduce the cancellation charge accordingly.

Any cancellation must be confirmed in writing by email.

4. Changes to Bookings

Any request to change dates, guest numbers, property, or booking details must be made in writing.

Changes are subject to availability and may result in a change to the price.

We are not obliged to accept booking changes once the booking has been confirmed.

5. Availability and Alternative Accommodation

In rare circumstances, the booked accommodation may become unavailable due to events outside our reasonable control, such as emergency repairs, safety issues, utility failure, or other unforeseen problems.

If this happens, we will make reasonable efforts to offer suitable alternative accommodation of a similar or higher standard.

If suitable alternative accommodation is not available, we may cancel the booking and refund any amount paid for accommodation not provided.

6. Security Deposit and Damage

A security deposit, pre-authorisation, or valid card details may be required before check-in.

This may be used to cover:

* damage to the property;

* missing items;

* broken items;

* lost keys or access devices;

* excessive cleaning;

* unauthorised guests;

* smoking inside the property;

* breach of house rules;

* other reasonable costs caused by the guest or their visitors.

We will notify you of any proposed deductions and provide details of the charges.

The property must be left in a reasonable condition at check-out.

7. Check-in and Check-out

Check-in is from 4:00 PM.

Check-out is by 10:00 AM.

Early check-in or late check-out must be agreed in advance and is subject to availability.

Unauthorised late check-out may be charged at £25 per hour or part hour.

8. Guests and Occupancy

Only the guests named or agreed on the booking are permitted to stay at the property.

The maximum occupancy must not be exceeded.

You must not allow other people to stay overnight without our written agreement.

We may refuse entry or terminate the booking if the number of guests exceeds the agreed occupancy.

9. House Rules and Restrictions

All properties are strictly non-smoking.

Parties, events, gatherings, and disruptive behaviour are not permitted.

Pets are not allowed unless agreed in writing before booking.

Guests must respect neighbours and keep noise to a reasonable level, especially during quiet hours.

Bicycles, scooters, and similar items should be stored only in agreed or suitable areas.

The property must not be used for illegal, immoral, commercial, or disruptive activities.

We reserve the right to terminate the booking without refund if these rules are seriously breached.

10. Guest Responsibilities

Guests must:

* take reasonable care of the property;

* report any damage, fault, or maintenance issue promptly;

* keep the property clean and tidy;

* use appliances and facilities safely;

* lock doors and windows when leaving the property;

* follow all house rules and access instructions;

* avoid causing nuisance to neighbours.

Guests are responsible for the behaviour of all members of their group and any visitors.

11. Access to the Property

We reserve the right to access the property at reasonable times for inspection, maintenance, repairs, cleaning, safety checks, or emergencies.

Where possible, we will give reasonable notice before accessing the property.

In an emergency, we may access the property without prior notice.

12. Services and Utilities

We will make reasonable efforts to ensure that utilities and services are available during your stay, including electricity, water, heating, internet, and communications.

However, we are not responsible for failures or interruptions caused by third-party providers, utility companies, local outages, maintenance works, building works, weather, or other events outside our reasonable control.

If you report an issue, we will make reasonable efforts to resolve it as soon as practical.

13. Cleaning and Maintenance

The property will be cleaned before arrival.

For longer stays, cleaning arrangements will be confirmed separately.

Guests must allow reasonable access for agreed cleaning, maintenance, safety checks, and inspections.

Excessive cleaning required after check-out may be charged to the guest.

14. Complaints

If you experience any issue during your stay, you must contact us as soon as possible so we have the opportunity to resolve it.

We aim to acknowledge complaints promptly and resolve issues fairly.

Complaints raised after departure may be harder to investigate if we were not given the opportunity to deal with the issue during your stay.

15. Personal Belongings

Guests are responsible for their own belongings during the stay.

We are not responsible for loss, theft, or damage to personal items unless caused by our negligence.

Any items left behind may be kept for a reasonable period. Postage or courier costs for returning items must be paid by the guest.

16. Liability

We do not exclude or limit liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence.

Subject to this, My Short Lets will not be liable for loss, damage, inconvenience, or disruption caused by events outside our reasonable control.

17. Privacy and Data Protection

We process personal information for the purpose of managing bookings, payments, guest communication, legal compliance, security, and customer service.

Personal and payment information will be handled securely and in accordance with applicable data protection laws.

18. No Tenancy Created

The accommodation is provided as short-term serviced accommodation or holiday accommodation only.

This agreement does not create an assured shorthold tenancy, lease, or other residential tenancy.

Guests do not have exclusive possession of the property as a tenant and must leave at the end of the agreed booking period.

19. Changes to These Terms

We may update these terms from time to time.

The terms that apply to your booking are the terms provided or published at the time your booking is confirmed, unless a change is required by law or agreed in writing.

20. Governing Law

These terms are governed by the laws of England and Wales.

Both parties agree that the courts of England and Wales will have jurisdiction in relation to any dispute.
